Complete Guide to Managing Events & Assignments

Event Information event

Set up your event details including date, parasha, event type, and basic information that will be used throughout the workflow.

  • Select event date and time (* required)
  • Choose parasha and event type (* required)
  • Configure davening times and minyan details
  • Set up event-specific settings
  • Save and proceed to assignments

Manage Assignments assignments

Create and manage pledge cards for individual members. Assign person, set pledge amounts, and other card's information. Create new persons on-the-fly if they're not found in the system.

  • Add new pledge card using the + button
  • Select person and kibbud (honor) type
  • Create New Person: If a person isn't found in the system, create them directly from the assignment modal - they'll be automatically "plugged in" to the current assignment
  • Set pledge amounts or mark as gift
  • Add related persons for honors
  • Include client/admin notes if needed. Client notes appear on client invoice
  • Edit or delete assignments as needed

Review & Complete review

Review all assignments, configure communication preferences using the advanced communication component, and complete the event with flexible payment and email processing options.

  • Review all assignments and totals
  • Configure Communication Settings:
    • Use global controls to set invoice/receipt preferences for all people
    • Choose between "Send Invoice" (for unpaid pledges) or "Payment Receipt" (for completed payments)
    • Override individual settings per person as needed
    • Verify email validity status for each recipient
  • Process Operations: Execute the configured actions (invoices, payments, receipts)
  • View Results: Review detailed operation results including success/failure counts for pledges, payments, invoices, and receipts
  • Complete and finalize the event

Pro Tips & Best Practices

Navigation: Use the workflow strip at the bottom to quickly jump between Event Info, Assignments, and Review sections. Your progress is automatically saved.
Assignment Modal: When adding pledge cards, the modal provides quick access to people, kibbud types, and pledge amounts. Use the search functionality to quickly find people.
Gift Assignments: Marking amount as a gift, still will considered as an amount and will be included when sending invoice to people. This is different than not setting any amount, which will just record this card in the system but will not send invoice.
Client notes: Client notes will appear on the invoice sent to the person. This is useful to comment a reason for example "In Memory of...".
Resource Management: Texts that are configurable have translations and are managed through the global resource system, ensuring consistency across languages and updates.
Communication Component: The communication settings dialog provides powerful control over invoice and payment processing:
  • Global Controls: Set "Send Invoice" or "Payment Receipt" for all people at once using the top segment controls
  • Individual Override: Each person card allows you to customize their specific communication preferences
  • Email Validation: Green "Valid Email" badges indicate confirmed email addresses, red "Invalid Email" badges require attention
  • Operation Types: Choose "Send Invoice" for unpaid pledges or "Payment Receipt" when recording completed payments
Operation Results: After processing, you'll receive detailed feedback showing:
  • Total number of items processed
  • Success/failure counts for pledges recorded, payments processed, invoices sent, and receipts delivered
  • Individual person results with specific error messages if any operations failed
  • Skip reasons for any items that couldn't be processed
Data Persistence: Your work is automatically saved as you progress. You can safely navigate between sections without losing data.
